Leave Management & Shift Availability

Keep time away and availability decisions connected to the roster.

Give employees a clear way to request leave, help managers review it and bring approved time away into scheduling. Before assigning work, ask selected employees whether they are available for the roster shift.

Three different signals

Leave, RDOs and shift availability meet in the roster. They do not mean the same thing.

Keeping each one clear helps schedulers understand whether someone is away, rostered off or responding to a request for open work.

Leave

Planned time away requested by an employee and decided through the leave approval workflow.

RDOs

Planned non-working roster days created through employee, scheduler or work-pattern pathways.

Shift availability

An employee's response when asked whether they are available for a roster shift, such as tomorrow night.

01 · Leave workflow

Move planned time away from request to roster.

Employees submit their leave request and any supporting information. Managers review the request and leave balance before approving or declining it. Once approved, the time away becomes useful scheduling context.

  1. 01

    Request

Choose the leave type, dates and units, then add notes or evidence.

  2. 02

    Review

See the request details, balance context and any work conflicts.

  3. 03

    Approve

Approve or decline within the manager's leave authority.

  4. 04

    Show in roster

Bring approved time away into roster and calendar views.

02 · Availability workflow

Know who is available before you fill the roster.

Ask selected employees whether they can work tomorrow night's roster and see their responses in one place. You can then fill the positions you need with a clear view of who is available.

  1. 01

    Ask

Email selected employees the roster shift details and a response link.

  2. 02

    Respond

Employees answer Available or Unavailable and can add a note.

  3. 03

    Review

Compare responses with the other checks that affect assignment.

  4. 04

    Assign

Choose who works, then email available people who were not selected.

03 · Scheduling consequences

Make approved time away visible where work is planned.

Final approval can update overlapping roster records and reveal the coverage that still needs attention. Approved leave can later enter payroll processing, where the relevant pay items are generated from configured rules.

  • Show approved leave in scheduling and calendar views
  • Update relevant work-pattern shifts and RDO records
  • Flag approved or processed timecard conflicts
  • Keep leave, availability, qualification and fatigue distinct
